Collective Availability Scheduling
Some meetings need the whole team. Schedly's collective scheduling finds times when all required team members are available simultaneously — showing clients only slots that work for everyone.
The outcomes you unlock
Measurable improvements that activate the moment you turn this on.
Automatic overlap detection
Add multiple required hosts to an event type. Schedly checks all their calendars simultaneously and shows only times when everyone is free.
No email chains to coordinate
The client sees one booking page with automatically filtered availability — no Doodle polls, no email threads, no back-and-forth.
Works with external guests too
Combine collective scheduling with Schedly's routing forms to let clients pick from pre-filtered availability based on their own preferences.
Set up in minutes. Runs automatically.
Once configured, everything runs on autopilot — zero manual intervention.
Create a collective event type
Add two or more required hosts to the event. Each host must have their calendar connected to Schedly.
Schedly intersects availability
Real-time availability is calculated across all required hosts. Only times when everyone is free are displayed on the booking page.
Client books one slot
The client picks from the filtered availability. All hosts receive the confirmation and calendar invite instantly.
Any cancellation notifies everyone
If the booking is canceled or rescheduled, all required hosts are notified and their calendars update automatically.

Multi-person meeting scheduling is one of the hardest scheduling problems in business — and the one that consumes the most coordination time. Finding a time when 4–6 specific people are all simultaneously available requires either checking each person's calendar individually and manually comparing availability (error-prone, time-consuming) or sending a Doodle poll and waiting for all participants to respond (slow, and often requires follow-up for non-responders). Schedly's collective scheduling reads all required participants' calendars simultaneously and presents only times when every required participant is available — turning a multi-hour coordination exercise into a single booking interaction.
"Collective Availability Scheduling isn't a feature — it's infrastructure. The businesses that adopt it first compound the advantage every single day."
Required vs. Optional Participants in Collective Scheduling
Not all multi-person meetings require all participants to be available simultaneously. Sales discovery calls might require the AE (required) and optionally a solutions engineer (optional if available, but not blocking if not). Project kickoff meetings might require the client, the project manager, and the technical lead (all required), with optional participation from the account manager. Collective scheduling that treats all participants as equally required will show very limited availability when one participant has a full schedule. Configuring required participants (whose availability is blocking) separately from optional participants (whose availability is preferred but not required) creates more booking opportunities while still ensuring that the most important participants are confirmed.
The Client Experience of Collective Scheduling: One View of Shared Availability
For external participants — clients, prospects, candidates — the collective scheduling experience is significantly better than any alternative. Instead of receiving a Doodle poll with 15 proposed time options and feeling pressure to indicate availability for times that don't work, the client sees a booking page that shows only times that work for the business's entire team. There are no times to reject, no preference conflicts to navigate, and no coordinator to notify of their selection. They simply choose from the available options — which are all genuinely workable — and receive an immediate confirmation with all participants' calendar invites. The externally-facing simplicity of collective scheduling is made possible by the complexity that Schedly handles internally: simultaneously checking every participant's calendar, finding overlap, and presenting only the intersection.
